Choosing the right event management agency is one of the most consequential decisions a marketing or events team can make. 1. Relevant experience in your sector
Event management is not one-size-fits-all. An agency that excels at consumer brand experiences may not be the right fit for a B2B technology conference and vice versa. Look for demonstrable experience in your sector, i.e. case studies, named clients (where permitted) and team members who genuinely understand your audience and your business objectives.
2. A consultative approach, not just execution

In an early conversation, notice whether they're asking smart questions about your objectives or jumping straight to logistics. The former signals a genuine partner; the latter signals an order-taker.
3. Transparency on pricing
Event budgets can spiral if they're not managed rigorously. Ask any prospective agency how they handle budget management, what their fee structure looks like and how additional costs are handled. A good agency will give you clear, detailed proposals and flag budget pressures proactively - not after the fact.
4. Strong supplier relationships
An agency's supplier network is one of its most valuable assets. Established relationships with venues, AV companies, caterers and logistics providers mean better access, better service and often better pricing. Ask who they work with and why.
5. Financial stability and appropriate insurance
You're entrusting this agency with significant spend. Check that they carry appropriate professional indemnity and public liability insurance, and that they're financially stable. An agency that handles third-party payments on your behalf should have robust financial controls and clear reporting.
6. People you actually want to work with
Events are high-pressure environments. You'll spend a lot of time with your agency team - in planning meetings, on late-night emails and on-site when things get stressful. Chemistry matters. Look for a team that communicates well, takes ownership and stays calm under pressure.
7. References and a track record
Ask for references from clients in similar industries or with similar event profiles. A confident agency will provide them without hesitation. Look at how long they retain clients - high retention rates are one of the most reliable indicators of consistent quality.
