The Company 

Founded in 2001, based in Hammersmith Outsourced Events Ltd is a multi-award winning end-to-end event management provider to the IT and professional services industries, as well as the Association and not-for-profit sectors. Working globally across more than 50 clients and running upwards of 250 events a year, our projects focus on conferences, exhibitions and roadshows targeting decision makers within large organisations or membership bodies. 

The Team

We take great pride in delivering the highest quality of service to our clients, and these relationships are crucial for the ongoing growth of Outsourced Events. Joining a growing team of 37 based in West London, you'll have the opportunity to work across various projects, gaining exposure to new experiences and learning fast on the job. In our high-energy, fast-moving environment, all transactions must be up-to-date for reporting at very short notice. The ability to learn quickly is essential, given the diverse projects we handle. 

Key roles and responsibilities:

This hands-on role offers the opportunity to acquire practical accountancy skills. 

  • Project Reconciliations – Collaborate closely with event managers and executives on a weekly basis to ensure timely budget updates and alignment with project objectives
  • Monthly Statements/Reporting – Generate comprehensive monthly statements for clients, proactively addressing their inquiries and concerns to maintain exceptional service standards
  • Project Cost Management – Partner with the finance team to meticulously track client payments, ensuring prompt settlement of third-party expenses and facilitating seamless weekly payment processes
  • Revenue Management – Drive revenue integrity by accurately invoicing clients for services rendered, meticulously maintaining deferred revenue records, and preparing monthly journals for fee recognition based on forecasted and actual outcomes
  • Management Accounts – Assist the finance manager in managing prepayments, accruals, accrued income, and fixed assets, contributing to the accuracy and completeness of financial reporting
  • Comprehensive Reporting – Compile insightful revenue reports and other ad-hoc analyses for board-level decision-making, providing valuable insights into organisational performance
  • Event Registration Support – Contribute to the seamless execution of registration events by assisting in weekly income reporting, maintaining registration platforms, addressing delegate queries, and efficiently managing credit control processes
  • Credit Control - Provide valuable support in credit control processes, ensuring timely and effective management of outstanding balances and maintaining positive client relationships.
  • Year-End Support - Assist in year-end procedures, leveraging your attention to detail and organisational skills to facilitate a smooth and efficient transition
  • Ad Hoc Duties - Flexibly handle various ad hoc duties as required, demonstrating versatility and adaptability to meet evolving organisational needs

Reporting structure 

You will report directly to the Finance Manager for day to day issues. 
 
Key qualities required:
Accountancy skills

  • Previous knowledge of Sage Line 50 or Intacct is desirable 
  • Proficient and confident with Excel and Microsoft Outlook 
    IT knowledgeable 

Personal skills: 

  • Excellent attention to detail and high degree of accuracy in all work 
  • Numerate 
  • Excellent time management and ability to meet deadlines 
  • Flexibility and ability to multi-task 
  • Very organised and structured; logical and analytical mind 
  • Strong communication skills 
  • Ability to work without heavy supervision 
  • Ability to take responsibility for ensuring deadlines are met 
  • Personable telephone manner 
  • The desire to learn new skills and really take ownership of the role that you are fulfilling 
  • Hard working and dedicated team player 
  • Good concentration – for an open-plan environment 
  • Fluency in another language would also be beneficial but not essential

Salary 
£40-45k per annum dependent upon experience.
