How SentinelOne's EMEA Partner Conference brought 220 partners together, three years running

For the third year running, SentinelOne appointed Outsourced Events to deliver its annual EMEA PartnerOne Conference, this time at the Miragem Hotel in Cascais, Portugal. The four-day event brought together 220 cybersecurity partners from across Europe, the Middle East and Africa for product introductions, partner conversations and relationship building.

Outsourced Events provided end-to-end international conference management: venue, AV, accommodation, branding, merchandise and group activities, all coordinated across two client time zones, a US-dollar budget and a Portuguese supplier base. The goal was a partner experience that went well beyond a standard corporate conference.

Objective: Designing a partner conference that didn't feel corporate

SentinelOne needed a trusted international events partner to design and deliver a high-impact partner conference that felt distinct from a typical corporate format. The main objective was to create genuine opportunities for partner conversations and introductions to new products, in a setting that reflected SentinelOne's brand energy and ambition.

With client teams in both the UK and the US, the brief called for an agency experienced in international logistics, currency management and multi-language supplier relationships. It also needed creative ideas to bring the brand to life: a bespoke floral installation of the SentinelOne logo, on-site personalised merchandise and venue experiences delegates would talk about long after the event.

The Challenge: Managing a US-dollar budget, two time zones and Portuguese suppliers

Delivering an international conference in Portugal brought three operational challenges.

  • Currency: costs and bookkeeping were managed in US dollars across a European supplier base, so every booking needed careful financial coordination.
  • Time zones: the client team spanned the UK and the US, so planning calls, approvals and communications had to work across different working days.
  • Language: working with Portuguese venues and suppliers in their own language was essential to securing the right relationships, the right spaces and the right execution.

The Solution: One event journey across three venues, managed in Portuguese

Outsourced Events took a venue-first approach to the conference. The main sessions at the Miragem Hotel, the advisory board dinner and the gala dinner at Colares Winery were planned as one connected event journey rather than separate bookings.

Weekly client calls, wrap-up reports and a live Monday.com project board kept stakeholders in the UK and the US aligned, whatever their time zone. Our multilingual team worked with the venues and suppliers directly in Portuguese, which built the trust needed to execute with precision. Before the event, reconfirmation calls checked every registered delegate was attending and answered their questions, so numbers on the ground were accurate from day one.

The Experience: Four days in Cascais, from a coastal 5k to a winery gala

Every element below was sourced, booked and managed directly with Portuguese suppliers, which is what made the creative ideas possible on an international timeline.

Bringing the brand to life on arrival. A bespoke floral installation of the SentinelOne logo served as the centrepiece of the main conference space. It set the tone the moment delegates arrived and drew attention throughout the event.

An energetic start. The conference opened at 7am on day one with a 5k run along the Cascais coastline, with around 20 delegates taking part. That spirit carried into the evening with a poolside welcome reception featuring a DJ and live saxophone.

Content delivered in real time. On day two, workshops and roundtables were structured to flow from one to the next. Delegates completed a live state-of-the-industry analysis using an AI tool Outsourced Events had set up in advance, and the resulting slides were generated and presented on stage within the hour.

A gala dinner at a private winery. Guests travelled to Colares Winery by coach along the coast, with tasting notes and winery information shared on the way. The venue's long room meant a single screen behind the stage wouldn't work, so Outsourced Events designed a setup of AV totems around a central stage, giving every guest a clear view.

Merchandise made to order. Instead of pre-printed merchandise, an on-site SWAG store let delegates personalise tote bags and hoodies, produced in front of them. The make-to-order model also cut waste, since nothing was printed that wasn't wanted.
