Outsourced Events worked with our client Ocean Infinity to deliver a transformational multi-day experience that broke down silos between diverse teams spanning many business functions across multiple countries.
Objective
Ocean Infinity needed to bring together their fast-growing global workforce of more than 600 people for their first company-wide leadership summit. Their aim was to break down barriers between teams and build a shared identity under the theme “We Are One Company”. They chose Outsourced Events to help turn this vision into practical results that would create genuine connection across more than a dozen acquired businesses - no small task when everyone had previously been sailing their own ship.

The challenge: After 12 strategic acquisitions, Ocean Infinity’s growing workforce brought a mix of backgrounds and perspectives. Only a third came from maritime roles, while the rest worked across technology, engineering, people, safety and procurement. This created natural divisions between teams and locations, with some colleagues excited by the rapid growth and others understandably cautious about so much change happening at once. Coordinating 300 attendees a day - in staggered groups to keep the business running - while still offering genuinely meaningful engagement required careful planning, strong communication and event management skills that were nothing short of shipshape.
The solution: Outsourced Events delivered full summit management that turned a very complex organisation into something that looked positively streamlined. Our approach centred on a creative direction that combined maritime and technology themes, supporting Ocean Infinity’s focus on sustainability and innovation. Engagement was boosted through interactive elements such as market stalls, networking areas and light-hearted gamification - including bingo cards and stamp-collecting trails, proving that even seasoned professionals enjoy a bit of a treasure hunt.
Careful logistics planning ensured smooth attendance for guests travelling from the UK, US, Canada, Portugal, Sweden, Singapore and beyond, all while shaping content around sea tech, sustainability and growth.
The experience: Before the event, preparation covered everything from detailed venue and transport planning to developing a visual theme that reinforced Ocean Infinity’s forward-looking mission. We also shaped internal communications to help bring even the more sceptical audiences on board.
During the summit, Outsourced Events managed the complex logistics of staggered attendance, curated speakers and panels that highlighted internal champions and ran interactive workshops designed to break down silos and get teams genuinely working together.
After the event, we helped keep the momentum going with a dedicated follow-up session for 28 senior leaders, delivered with the same smooth logistics and attention to detail.
