A global AI technology company needed its second annual awards dinner delivered in just six weeks, from pitch to the night itself. With its internal teams already stretched, it turned to Outsourced Events to take on end-to-end event management for 300 guests.
The result was a polished awards evening that matched the client's brand and ambitions, delivered without adding to its team's workload, and a partnership that has since grown to include further dinners and an internal training event.
The Brief
Objective – Full ownership of a 300-guest awards night at short notice
The client wanted a partner who could take full ownership of an awards dinner at short notice and deliver it to a standard consistent with its brand, without the compressed timeline affecting the guest experience.
Outsourced Events had already delivered a series of smaller dinners for the client earlier in 2026, so the client knew it could extend that trust to a much larger, higher-stakes event. The evening would bring together AI startups from across healthcare and life sciences to celebrate the innovators shortlisted by the client's board over the past year. With a technically specialist audience in the room, the event had to meet high expectations.
The Challenge – A six-week timeline, a fixed venue and a bold brand to bring to life
The brief left almost no room for a conventional planning cycle, and three constraints shaped everything that followed.
Time: six weeks from pitch to delivery for a 300-guest awards dinner.
A fixed venue: the venue had already been chosen before Outsourced Events came on board, so the event had to be designed around it from day one.
Branding: the client's brand relies on a distinctive, bold colour palette that needed translating consistently across every touchpoint in the time available.
To keep pace, Outsourced Events worked differently from a standard event plan. Rather than each person owning a separate area, every team member stayed across every detail, so decisions could be made quickly without waiting on handovers. It's a way of working that suits an experienced team used to fast-paced events.
The Solution – Experience, creative ideas and trusted suppliers
Outsourced Events took full ownership of delivery at pace. The team built the event brand around the client's existing supplier relationships, sourced AV directly through the venue to save time while still vetting the supplier to its usual standards, and brought in an experienced show caller to run the evening.
To make the most of the timeline, the team applied the client's colour palette against a white base and used targeted branded stickers across event items, keeping the look consistent and high quality throughout.
Sustainable registration furniture. Rather than sourcing standard registration furniture under time pressure, the team specified sustainable paper furniture: fast to source, quick to assemble and fully reusable afterwards. It was a considered choice rather than a rushed one, and it became a conversation starter among guests as they arrived.
Three-metre LED award totems. For the awards, Outsourced Events worked with a supplier to design three-metre LED totems, one per award category. Each rotated through the shortlisted nominees, with a QR code linking to who they were and why they'd been nominated, giving the awards moment real scale.
What this meant for the client: a 300-guest awards night delivered to its brand standards in six weeks, with no extra pressure on an internal team that was already at capacity.
The Experience – Dinner, networking, awards and the details guests took home
The evening ran as dinner, networking and awards. A dedicated lounge area was built around a museum-style screen playing the client's own content about its partners and the wider business, giving guests something to engage with beyond the main programme.
Gifting carried the same care, with two ideas from Outsourced Events: awards-themed biscuits from a local bakery, shaped to match the client's trophy design, and a wellness-focused wrist oil, chosen as a small, usable takeaway.
