THE SOURCE - OUTSOURCED EVENTS

In December 2013 we published Outsourced Events’ first EMEA cost-per-delegate benchmarking report. It was so well received and proved such a useful report that six months on, we’ve now updated it. Using our contacts and experience of international events, we’ve investigated two more locations to give you a straightforward cost-per-head comparison of 25 locations, based on a simple, one-day marketing event. You’ll find a link to the report in this issue of theSOURCE.

Our case study this month showcases a user group event we ran for EMC at the Cinecitta Film Studios in Rome, Italy and following the TM Forum in Nice, we look at the capital of the Riviera as a location for events. As we were also in Paris last month, we’ve recommended “un restaurant tres Parisien” and finally our venue of the month is one we used for a corporate golf day in Kinsale Ireland.

It’s amazing how fast this month has flown! We’ve been busy with the RSA Security Summits, as well as supporting Trend Micro on their stand at Infosec in London and everything is beginning to ramp up for the start of the EMEA EMC Forums in September too.

With the experience of exhibiting at a trade show very fresh, my thoughts turned towards sustainability and some ideas to help you create a “greener” event. I’ve also picked the brains of our MD Denise Sharpe about the differences US companies need to consider when marketing into EMEA.

Having spent some time in Munich this month, our team reviewed a traditional Bavarian restaurant, as well as a fabulous venue in Rome and our location of the month is Lyon in France.

Does your event need the “green” light?
With the ever increasing pressures on our environment from a growing global population, sustainability is becoming part of the mission statement of many companies. Events, as we all know, have always had a tendency to create a lot of waste and generally be environmentally “unfriendly”. With this in mind, we’ve put together six ideas that could help to give your event the “green” light.

Over the course of 2014, we’ve welcomed five new members to the OE fold, Susi Golding, Marie Bouilhet and Scarlett Carroll to the burgeoning events team, Sam Patel joined our accounts department and Sophie Grant has come back to the fold working with registration, data and analytics.

How engaging is your Virtual Sales Kick-Off?

Face to face meetings and events are essential to day to day business. We would say that, obviously, but when 90% of

communication is non-verbal, via facial expressions, gestures and emotion, it stands to reason that a meeting room full of people
will create more energy and engagement than one person and a device on
their own. So when virtual meetings are unavoidable, how do you ensure
that it’s full of energy and that your sales team remains fully engaged
and can continue to benefit from the meeting throughout the course of
the year?

We have a few suggestions

THE SOURCE - OUTSOURCED EVENTS
Recently, we’ve been reading lots of articles suggesting that marketers in general are spending more of their budget on technology. Certainly, we’ve seen a move away from printed collateral, especially as we all strive for sustainability. With that in mind, in this edition, you’ll find our thoughts on event apps and how to choose what is right for your event.

Meanwhile, if you, like many of our clients, have a global marketing team, then ensuring that internal messaging and marketing strategy is communicated effectively to your Field Marketing Managers can be a challenge. We take a look at how face-to-face internal events tackle this head on, including a case study about how EMC do just that with their annual marketing kick-off.

And there’s also great insider tips on a restaurant in Amsterdam, something a bit fishy in London, and whilst Cloud Expo and TFM&A are both being hosted in the city this month, our spotlight shines on the UK’s capital.

If you still need more advice, don’t worry: we’re here to help. Call for a chat on 0208 995 9495, or drop us a line.

Five things that won’t happen when using face-to-face internal communications
With a multinational marketing team, spread across multiple countries, it’s often a challenge to ensure corporate messaging and marketing strategy is communicated successfully. Not only is geography an issue but there are also cultural differences to take into consideration.
In our experience, as well as the usual digital communication, a face-to-face marketing kick-off has always been a winner and here’s why… Read More
Event Apps, the choices…
Without a doubt, if you run regular events, then developing a mobile app is becoming the norm. In 2013 over 60% of people throughout the world owned a smartphone and this is set to rise, so at the very least you should be optimising your event website for mobile use. We take a look at the choices available from bespoke apps to free-to-download event apps. Find out more
Case Study: EMC play the advantage with their annual marketing kick-off

If you have field marketing managers spread across multiple nations, then no doubt keeping them informed of all the latest messaging and strategy can be a challenge.

Our client EMC runs an annual marketing kick-off to meet this challenge head on.

THE FUTURE BYTES
CES14 in Las Vegas earlier this month showcased the growing trend for wearable technology. Fitness wrist bands that integrate with mobile apps are not a new concept, but due to the rapid advance in micro technology, they are becoming more sophisticated and affordable.

We’ve been looking at one such band, the  “Fitbit Flex” as a potential event giveaway. Melissa Peyronny, one of our Event Execs, has been trialling the band which counts your steps, calories burnt and distance covered as well as assessing the quality of your sleep at night and wakes you silently in the morning; definitely all good to know when at an event!

Case Study: Want contact details? Throw people out of a plane…

If your objective for an event is to make a real splash – to be the one
exhibitor everyone’s talking about – then you need a big, bold idea.

And when Trend Micro asked us to make the most of its Platinum Sponsorship at VMworld Europe 2013, it’s safe to say we delivered exactly that. We inspired them to add a skydiving simulator to their presence.

The result? 1,100 contacts, from 864 companies in 69 countries.

Our team at OE are always on the lookout for exciting new technology that could make your event stand out.

This month we met the team from Forms2mobile.com who have a great app that could be used instead of lead scanners at an expo.

It’s very easy to create the forms via a drag and drop system, so you can dictate the information captured. It has the ability to take photos, collect signatures and email the contact automatically with content that you have written and preloaded. It even captures the geographical location, so you know which event you were at when you met the contact AND has a scanner too.
